Taming the Email Archive Beast

If you feel you're having to deploy more and more resources to email management, archiving and retrieval, you're not alone. Archiving emails is no doubt a good idea for enterprises. It can provide quick dispute resolution, give you a solid audit trail for lines of communication and at the same time provide a standard method for monitoring corporate communication. But, you need to have a system in place that will not eat-up your IT resources and budgets.

There are several solutions to email archiving, from high-end resource intensive enterprise systems to applications originally intended for other functionality and over time ported to do some basic archiving functions.

Most companies that already have GFI MailEssentials deployed for anti-spam can use the built-in functionality for email archiving. GFI MailEssentials provides basic archiving functionality but when you need a system to archive emails along with attachments and set rules to archive content for a certain period of time, you need GFI MailArchiver.

GFI MailArchiver allows you to access the emails archived via an easy to use web interface. The system allows you to search within email attachments like Word, Excel, Adobe PDF and ZIP files.

GFI MailArchiver can backup content to a SQL database to conserve disk space usage and provide quick search functionality. Call me to schedule a trial setup of GFI MailArchiver to test the system within your organization, needless to say, as one client put it "...monitoring has been very revealing."
